Professional Recruitment Assistant

As a member of the Talent Management Department, the Professional Recruitment Assistant works closely with the Attorney Recruitment team to support the hiring process for summer associates and lateral attorneys.
ESSENTIAL FUNCTIONS:
  • Monitor the Firm's applicant tracking system for daily new applicants for open positions and also self-apply applications.
  • Create comprehensive associate and summer associate application packets including all relevant materials for initial review by recruitment coordinators.
  • Maintain self-apply (unsolicited) applications for consideration in future opportunities.
  • Track and update candidate statuses in the applicant tracking system as candidates move through the interview process. Update supporting documentation in applications systems as needed.
  • Send rejection communications for all self-applies, candidate write-ins, referrals, and associate search firm submission as determined by the recruitment team.
  • Maintain associate search firm agreements.
  • Coordinate logistics for meetings, interviews and summer program training programs and events.
  • Work closely with the Attorney Recruitment team on the On Campus Interview (OCI) process; create files for participating law school and all callback candidates; upload all data for selected and alternate interviewees; update status as candidates move through the process; send rejections as determined by committee.
  • Make travel arrangements.
  • Process background checks for all attorney hires.
  • Maintaining various spreadsheets.
  • Handle check requests.
  • Answer phone calls.
ADDITIONAL FUNCTIONS:
  • Assist with other miscellaneous projects/events
QUALIFICATIONS (EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES):
Education:     
  • Bachelor's Degree (recent college graduates with 1-2 years of professional experience are encouraged to apply)
Experience:
  • 1-2 years of professional experience preferred
Knowledge, Skills, & Abilities:
  • Strong verbal, written and interpersonal skills
  • Strong administrative skills (typing, phone manners, knowledge to answer basic questions about firm procedure, etc.)
  • Excellent organizational skills and attention to detail
  • Strong computer skills to manage various candidate tracking and budget spreadsheets and databases
  • Ability to interact professionally and effectively with partners, non-partner lawyers, and staff at all levels of the organization
  • Ability to work well in a team environment
  • Ability to organize, prioritize, handle multiple responsibilities/projects and meet deadlines
  • Ability to work well under pressure
  • Overtime may be required during periods of high workload
WORK ENVIRONMENT & PHYSICAL DEMANDS:
  • This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
  • The Firm maintains a COVID-19 vaccination policy. If unvaccinated, a mask will not be required to be worn in the office unless required by local or state government.
PHYSICAL REQUIREMENTS
Sedentary work: Exertion of physical strength to lift, carry, push, pull, or otherwise move objects up to 10 pounds. Work involves sitting most of the time. Walking and standing is often necessary in carrying out job duties.
VISUAL ACUITY
Worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
