Program Assistant, Talent Acquisition and Onboarding

The Atlantic Council seeks a talented, energetic, and motivated Program Assistant to provide administrative support to the HR team for a full range of HR-related tasks in one of Washington’s most dynamic global policy organizations. The position is an excellent opportunity for a candidate interested in beginning a career within the field of human resources.
The Program Assistant will assist the Human Resources team with various administrative tasks related to full-life cycle recruitment, onboarding, document preparation, website updates, human resources information system management, and employee records management. We are looking for an entry-level candidate passionate about human resources and looking to gain experience in these areas.
The successful candidate will communicate effectively across cultures, thrive in a fluid environment, creatively and effectively solve problems, and manage high-level multitasking challenges of a busy and dynamic HR department. The candidate must be discreet, collegial, reliable, exceptionally organized, and ideally interested in nonprofit, foreign policy, or international affairs.
This position is based in Washington, DC., and will follow a hybrid work schedule.


Responsibilities 

  • Versatile Assistance: Assist with scheduling, recruiting, and hiring approvals, personnel actions, calendar management, correspondence and communication, website updates, and administrative support. 
  • Full-Life Cycle Recruitment: Partner with the HR recruitment team in managing the administrative functions tied to the full-lifecycle recruitment process of full time and internship positions (i.e., job posting, interview facilitation, reference check administration, applicant dispositioning, offer preparation).
  • Onboarding: Assist in the coordination of onsite and hybrid new hire onboarding and orientation. Responsible for new hire HRIS data management and the processing of new hire I-9 verifications.
  • Cross-Functional Support: Serve as coordinator between the talent acquisition and talent management teams to help move projects forward.
  • Administration Support and Schedule Management: Schedule meetings and interviews, reserve conference rooms, track follow-up items for various meetings. Prepare documents, route for signatures and track progress (such as job descriptions or remote work agreements).
  • Other Duties as Assigned: Assist HR team with various HR projects and/or special projects. 


Qualifications 

  • Bachelor’s Degree in Business, Psychology, International Relations or related field; 
  • 0-2 year of relevant administrative work experience; 
  • Demonstrated ability to work independently on multi-step, detail-oriented projects in a fluid environment.
  • Highly organized, with the ability to work in a fluid environment and on multiple projects simultaneously;
  • Strong interpersonal, relationship management skills with the ability to interface with all levels of the organization from interns to executives;
  • Excellent interpersonal and communication skills (both verbal and written), including the ability to identify and work through challenges, underscored by strong judgment and emotional intelligence;
  • Ability to work independently and efficiently;
  • Outstanding interpersonal and relationship management skills;
  • Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) required, with SharePoint experience a plus;
  • Superior internet research skills with the ability to take initiative on projects;
  • Interest in foreign policy or international affairs desirable, but not required.
